Book, reschedule, and complete sessions

Create one-off or repeating sessions, draw them from a package, and close them out as completed, no-show or cancelled.

Sessions are the spine of Traqqo. Every one of them belongs to a client, sits at a time in your timezone, and optionally draws a session off a package they've paid for.

Book a session

  1. Open the Sessions tab and tap +, or tap New Session from your Today screen.

  2. Select the client. Only clients who have accepted your invite appear here — if the list is empty, invite someone first.

  3. Set the date, time, and duration.

  4. Pick a location from the venues you've saved under More → Locations, or add a new one from the sheet without leaving the screen.

  5. Choose how it's paid for:

    • From a package — pick one of the client's active packages and the session draws a session off it. Nothing else to fill in.
    • Standalone — set a price, payment method and status. This creates an order for the session.
    • Free — leave the price empty for intro sessions and freebies.
  6. Tap Create session.

Sessions are in-person. Every session carries a location, and there's no online/video session type.

Repeating sessions

On the New Session screen, switch Repeat from Does not repeat to Every week or Every 2 weeks, then choose how it ends:

  • For N weeks
  • N sessions
  • Until a date

Traqqo creates every session in the series immediately rather than generating them lazily, so they all show up in your calendar straight away and you can edit or cancel any single one of them. A series can run to 200 sessions.

Seeing your schedule

The Sessions tab has two views, toggled at the top right:

  • List — upcoming and past, grouped by day.
  • Calendar — a month grid with dots on days that have sessions; tap a day to see it.

Closing a session out

Open any session and use the actions at the bottom:

  • Mark complete — the normal ending. If the session came from a package, this is what actually consumes the session.
  • Mark no-show — the client didn't turn up. Your no-show fee applies.
  • Reschedule — move it to a new time. The client is notified.
  • Cancel session — for a repeating session you're asked whether to cancel this one only or all future sessions in the series.

Cancellations record who cancelled, which is what drives your policy: a client cancelling inside your notice window is a late cancellation and is charged your late-cancel fee; outside the window it's free.

Set your notice window and fees once under More → Session Settings. You can override them for individual clients from the client's detail screen — useful for regulars you want to be more relaxed with.
